Sound familiar?

You're losing sponsors and you can't tell why.

Most events, nonprofits, and creators don't have a sponsorship problem — they have a proposal experience problem. If any of these hit, you're leaving money on the table.

You sent a deck three weeks ago and never heard back.

Sponsors say "sounds great, send me a deck" — then ghost.

Your tiers are guesses. You don't actually know what your audience is worth.

Your board says "we should get sponsors" with no plan attached.

You're the founder, the marketer, the designer, and the salesperson. At midnight.

You closed a sponsor once — and have no idea how to renew them.

If you nodded at two or more, the next 20 minutes can change your funding cycle.

Why most proposals get ignored

You don't need another template. You need a team.

Sponsors see a hundred copy-paste decks a year. Generic tiers, recycled letters, no visual proof. The events that get funded show up with a story, a system, and a screen-ready proposal the sponsor can act on in five minutes.

I

Generic decks get scrolled past

If your sponsor proposal looks like the last ten they got, it goes in the same folder. Custom positioning is not optional.

II

You're guessing what sponsors want

Without research, your tiers are arbitrary. We dig into the prospect's category, recent activations, and what they actually fund.

III

You don't have time to be a one-person agency

Web designer. Videographer. Photographer. Marketing officer. We're all of those — so you can focus on the event itself.

Demo System

You Are Viewing the Demo Right Now.

Xarify is built using the same sponsorship proposal system we create for clients. The page structure, mobile-first pitch flow, sponsor education, gated pricing logic, booking path, and proposal experience are all part of the model.

We do not just tell you what the funnel looks like. You are walking through it.

Live Sample: Draw It Out With Emily-Kate.

Draw It Out shows how a Xarify-built sponsorship proposal experience can also support event visibility, audience development, sponsor education, and future event promotion. The sponsorship experience can begin as a funder-facing pitch, then shift into an event website after sponsorship is secured.

What's included

Everything you need to walk in funded.

A complete sponsorship proposal experience — built around your event, narrated in your voice, and delivered as a single link you can pull up on your phone.

1

Custom Sponsorship Deck

Tailored tiers, story-driven positioning, and category exclusivity logic — not a template with your logo dropped in.

2

Narrated Presentation

Studio-quality voiceover walking sponsors through your proposal. Plays from your phone or theirs. Always on-message.

3

Proposal-to-Event Website

Your site can begin as a sponsor-facing pitch experience. Once sponsors are secured, the public event content moves forward and the sponsorship page can shift behind the scenes. The site stays live, searchable, and useful for promotion, sponsor fulfillment, recap content, and future renewal cycles. Especially valuable for annual events, recurring festivals, touring artists, seasonal campaigns, and nonprofit fundraising cycles.

Resource & Distribution Network

Promotional products, social media distribution, photographers, videographers — sourced and coordinated by us.

Built for the way you raise

Built for who you actually are.

We tailor the proposal experience to your category — because sponsoring a festival is nothing like sponsoring a creator, and pretending otherwise is why most decks fail.

The Xarify Capture Engine

Sponsors qualify themselves. You meet only the ones ready to move.

Every Xarify proposal site comes with a 4-step prospect capture engine — the same gated-pricing flow used by category-leading agencies. You get an inbox of qualified leads, not a pile of "let me think about it" emails.

Private
Sponsorship-to-Event Lifecycle

One system. Five phases.

Most agencies hand you a deck and disappear. Xarify is built to live with your event from the first sponsor pitch through the renewal cycle — the same site, evolving as the campaign moves forward.

  1. Phase 1

    Pitch

Sponsor-facing proposal site, narrated walkthrough, and custom tiers go live. Your job is to send the link and walk in funded.

  2. Phase 2

    Capture

The 4-step capture engine qualifies sponsors, verifies them, unlocks pricing, and routes their information into your inbox.

  3. Phase 3

    Event Mode

The site shifts from sponsor-facing to public-facing. Tickets, schedule, performers, sponsor logos — same domain, new emphasis.

  4. Phase 4

    Fulfillment

Sponsor activations roll out — logo placement, social posts, recap content, photo galleries — captured for proof and renewal.

  5. Phase 5

    Renewal

Recap reports, sponsor metrics, and a multi-year story your sponsors can take to their CMO. One signed deal becomes a partnership.

After you sign the sponsor

Most agencies cash the check and disappear. We keep the engine running.

Closing a sponsor is the start, not the finish. Activation content — reels, social posts, sponsor recap pieces, blog content — is what gets you renewed for next year. Through our sister studio Prosada, Xarify clients get a continuation path that turns one signed sponsor into a multi-year partner.

1

Sponsor activation content

Reels, recap videos, and social-ready posts that fulfill your sponsor deliverables — and make them look great to their CMO.

2

Ongoing brand storytelling

Blog posts, narrative content, and email sequences that keep your event or organization visible between sponsorship cycles.

3

Renewal-ready recap decks

End-of-cycle reports built like proposals — so when it's time to ask for next year's check, the answer is already yes.

Sponsors don't churn because the event was bad. They churn because nobody told their story afterward.

Why Xarify

Xarify vs the alternatives.

Most teams try one of three paths before calling us. Here's how the work compares.

Build it yourself Hire a freelancer Buy a template Xarify
Sponsor research You guess and Google. Surface-level list. Generic verticals. Real CSR & brand-fit research, named contacts.
Tier pricing Pulled from a similar event. Copied from past clients. Static numbers in a Word doc. Built from your real audience & CSR budget data.
Proposal package One PDF, edited late. Slide deck, no follow-up assets. Fill-in-the-blank deck. Deck, one-pagers, outreach copy, microsite.
Outreach support You write every email. Maybe a sample email. None. Cadence, sequences, follow-up frameworks included.
After they sign You scramble for assets. Project ends. Cash check, disappear. Out of scope. Sister studio Prosada keeps the engine running.
Time to launch-ready 2–4 months, usually late. 4–8 weeks, variable. A weekend, then stuck. 3–6 weeks with a real deadline.
Brand & design quality Stretched-thin internal team. Depends on the freelancer. Same look as everyone else. Custom design system, on-brand for you.
Narrated walkthrough You explain it live every time. Not offered. Not included. Studio voiceover that pitches even when you can't.
Capture & qualify leads Email back-and-forth. You build the form. Static PDF, no capture. 4-step microsite captures & qualifies sponsors.
Mobile pitch experience PDF that won't open in the meeting. Slides that don't load on phone. Print-first template. Pull it up on your phone, pitch in 90 seconds.
Updates after launch You re-export everything. Hourly rate per change. You hack the template. Live site — we update it for you.
Accountability Whoever has spare time. Until invoice clears. None — you bought a file. Fixed scope, real deadline, milestone guarantee.
Typical out-of-pocket $0 + 200+ team hours. $2k–$8k for deck only. $50–$300, then DIY. Custom-quoted to your event & goals.
Custom-quoted per engagement. Pricing is sized to your event, audience, and sponsor goals — shared after the 4-step capture form so the quote actually fits what you need.
Who's behind Xarify

A studio, not a sales floor.

Xarify mark
“Most sponsorship agencies cash the check and vanish. We don't operate that way — we keep building until your sponsors come back the next year.”
Xarify Founding Team — Twin Cities, MN

Xarify is a small, hands-on studio. We come from a background of brand strategy, content production, and event programming — which means proposals get built by people who've actually run events and pitched corporate partners. Our sister studio Prosada.com handles the year-round content side, so the relationship doesn't end at signing.

✦ Our promise

You walk out with a complete, sponsor-ready package — not a half-finished draft.

We commit to a fixed scope and a real deadline. Every Xarify engagement ships a finished custom deck, narrated presentation, proposal-to-event website (SEO-ready), and 4-step capture engine — reviewed with you, revised twice, and delivered on schedule. If we miss a milestone on our side, we make it right at no additional cost.

Frequently asked

The questions every event organizer asks.

How long does a Xarify proposal package take to build?

Typical timeline is 3–6 weeks depending on the size of your sponsorship round and how many sponsor categories we're targeting. We give you a real deadline based on the actual research and production work — never a fake "two-week turnaround" promise.

Why don't you list flat prices?

Because flat prices create bad assumptions. A 200-person fundraiser, a regional art event, a touring artist, and a large festival are not the same project. We price based on the size of the opportunity, the sponsor target, the event timeline, the number of sponsor categories, and the level of strategy needed. The capture form protects both sides: you do not get a random quote, and we do not give a number before understanding the scope.

Do you write the actual sponsor outreach emails too?

Yes. The full package includes outreach copy, sequence cadence, and follow-up frameworks. We can also handle outreach execution as an add-on if you don't have the bandwidth.

Can I keep the website you build?

The brand we build for you is yours — logo files, hero photography, copy doc, and brand colors hand off cleanly any time you want them. The Xarify proposal experience itself — the capture engine, narrated welcome, and proposal site infrastructure — stays hosted with us. As long as you're with Xarify, the site is live and managed; if you ever cancel, you walk away with every brand asset that's about your event, just not the engine that powers the funnel.

What if I already have a deck?

Send it. The 20-minute audit call usually starts with a teardown of what you have. About half of our clients come in with a v1 deck — we keep what's working and rebuild the rest.
